As the Council Grove Republican approaches its 154th anniversary in August, the newspaper is adopting a more clearly defined policy governing letters to the editor.
For much of the newspaper’s history, relatively few formal restrictions were placed on letters. A limit of one letter per writer each week was established several years ago. However, letters that were once commonly a paragraph or two have increasingly become lengthy essays, and exchanges between writers have sometimes continued through multiple editions.
The purpose of the letters section is to give readers an opportunity to express their views on matters of public interest. It is not intended to provide unlimited space for a person to repeatedly promote the same position or to conduct an extended argument with another writer.
Under the updated policy, letters will be limited to 300 words.
Although many newspapers limit letters to approximately 150 to 250 words, the Republican’s limit will continue to provide writers with enough space to explain their positions while allowing room for a greater variety of voices.
Writers will continue to be limited to one published letter within a seven- day period. In addition, a person generally may submit only one letter concerning the same subject, proposal, candidate, ballot question or public controversy while that matter is actively being debated.
Readers may respond to a previously published opinion, but letters must be directed to the public rather than written as personal messages to another writer. Continuing exchanges in which the same individuals repeatedly answer one another will not be published.
Letters may criticize policies, proposals, public decisions and opinions. However, they may not contain personal attacks, name-calling, threats, discriminatory language, profanity or potentially defamatory statements. Factual allegations must be capable of verification, and the newspaper may request documentation supporting disputed claims.
Letters submitted on behalf of an organization, committee, campaign or other group must include the names of all individuals who participated in preparing, approving or endorsing the letter. A letter will not be published solely under the name of an organization or with a general signature such as “committee members.” The requirement is intended to provide readers with transparency about who is responsible for the views and statements presented in the letter.
Letters must include the writer’s full name, community of residence, mailing address and telephone number. Contact information is used to verify authorship and will not be published. Anonymous letters and letters submitted under assumed names will not be accepted.
The Republican reserves the right to edit letters for length, spelling, grammar, punctuation, clarity and newspaper style without changing the writer’s intended position. Letters may be declined because of repetition, unverifiable claims, lack of public relevance, space limitations or failure to follow the policy.
The newspaper remains committed to providing a forum for differing viewpoints. The updated guidelines are intended to keep that forum accessible, civil and focused on issues that matter to the public.
